Studio Policies

SCHEDULING

Services are scheduled by appointment only – Mindful Healing Massage LLC does not currently accept walk-in clients. To accommodate as much as possible, we ask that you please try and book your appointments in advance with as much notice as possible. Mindful Healing is currently booking about a month ahead of time. All appointments are reserved with a credit card at the time of scheduling. You can use the website for the most efficient way to book online. If you do not receive a confirmation via email and text message, you have not successfully booked an appointment. If you book with a Groupon, coupon, gift card, or e-card, please be sure that you are bringing in your vouchers or redemption codes so that you are found in the system and able to redeem your service.

CANCELLATION & NO-SHOW POLICY

We kindly ask that you provide your practitioner with no less than 24-hrs notice in the event of a cancellation or reschedule. Because our business is small, every failed appointment makes an impact on our bottom line. As such, if you fail to notify us of your cancellation, (if you no-call/no-show) you will be charged 100% of that service’s fee. If you have a prepaid package or prepaid session scheduled and you no-call/no-show, a credit will be deducted from your prepaid appointment. All clients must keep a credit card on file for this reason. No appointments will be made in the future without a valid form of payment on file. Please email us directly in the event of a last minute, emergency cancellation to discuss rescheduling.

PAYMENT

Full payment is due at time of service. We accept cash, credit cards, (Visa, Master Card, Discover or American Express), or Venmo. No checks are accepted at this time for either general payment or gratuity. Package deals are non-refundable. There may also be a $5 square processing fee when using a credit or debit card to pay for your transaction.

**As of May 1, 2020 all packages are non-transferable. If clients would like to purchase gift cards for a loved one, they are available for purchase both in the studio and on the website.

YOUR FIRST VISIT

It is well-advised that you arrive 10-15 minutes prior to your first scheduled appointment. This allows each client substantial time to familiarize yourself with your surroundings, fill out their paperwork, and take enough time to speak to your therapist about any health/medical concerns. If you are unable to arrive early, please feel free to print and complete your forms ahead of time that can downloaded below.

LATE ARRIVAL

Due to our busy schedule, we are generally unable to extend your session beyond your original appointment time. If you are running late, you may not receive your whole session time. If your therapist is running late, you will always receive your full session time. Regardless of the length of the service given, you will be responsible for payment of the full service.

THE RIGHT TO REFUSE SERVICE

Mindful Healing Massage LLC has a zero-tolerance policy for abuse, harassment, intimidation, or sexual misconduct. If you cannot conduct yourself in a mature manner, you will be asked to leave the premises. Your massage will not be refunded if you are asked to leave the studio and it is possible that legal action will be taken against you given the circumstances or if you promote a dangerous atmosphere for therapists or clients. Mindful Healing is founded on the premise of safety, mutual respect, trust, and close-knit relationships. In turn, both clients and therapists may terminate the session at any time if either party is uncomfortable.

GRATUITIES

Gratuities are not included in the prices of our services but are always appreciated. Clients can tip with cash or on a credit card and tips are customarily 15-25% of the regular cost of service. Gratuities are not obligatory and should only be given at the discretion of the client. 

HEALTH CONSIDERATIONS

Please be as honest with your therapist as possible when filling out your intake forms.  If you have any health concerns/conditions, allergies, special needs, etc., please inform your therapist during your intake session, before your massage. Your safety is important and essential for both the client and the therapist and some services may not be appropriate for certain conditions. If you need help getting on or off of the table or have an issue with disrobing and need assistance, you will have to bring someone to assist you as Wisconsin state law prohibits a massage therapist from helping with some of these things.

SICK POLICY **FLU SEASON**

To maintain a healthy environment, we ask that if you are sick/ill (including colds, fevers, the flu, etc.) or have the onset of symptoms to an illness that you reschedule your appointment. If you arrive for your appointment with symptoms of an illness, you will be asked to reschedule your appointment. This is for your well-being for all involved; both clients and therapists alike.

Receiving a massage when you are sick is not well-advised. During the early and acute stages of a cold or flu, massage can accelerate the onset of the infection and intensify its severity due to increased flow of lymph and circulation in general. Receiving a massage after the infection has peaked may cause a relapse of symptoms and cause the client to become ill again. Please wait until 5-7 days after your cold/flu has ended and we will be happy to assist you in rescheduling your massage.

COMMUNICATION

Please be vocal about your massage. A lot of aspects of your massage session can be customized to individual preference, including: pressure (light, moderate, and deep), lighting in the room, table heat, volume of music; or whether or not you choose to hold a conversation with your therapist or like your treatment in silence. Mindful Healing encourages all clients to exercise their voices and their needs for an optimal bodywork experience. 

CELL PHONE USAGE

To maintain the optimum amount of peace, tranquility, and to cut down on general spa disruptions, we ask that clients please turn off their electronic devices or clients utilize their “do not disturb” settings. Use of a cell phone is not permitted during a massage and your therapist will encourage you to turn your phone off to enhance your experience.

INSURANCE BILLING

We do not offer direct insurance billing but can provide a digital receipt for your session that you may be able to submit to your insurance company or employer for reimbursement.

MINORS

Mindful Healing does work on minors. Studio policy states that if a minor is under the age of 15-years-old, parental consent must be gained by signed liability waiver and a parent or guardian must be present in the room for the minor’s massage. Minors aging from 16 to 17-years-old require parental consent by signed liability waiver and it is your child’s CHOICE whether or not they would like a parent or guardian present in the room for their service. Both parties must consent to massage therapy or no work will be done. Please consult with your minor to address whether or not they are comfortable receiving massage therapy prior to their appointment.
